- For each tender requirement, the system assigns a match confidence score. High-confidence matches are populated automatically. Low-confidence matches and gaps are highlighted in red, with a note explaining specifically what catalogue item or compliance statement is needed so the team knows exactly where to focus their attention.
- The completed compliance matrix and bid summary are stored in a shared SharePoint workspace where the Sales, Legal, and Technical teams can review, annotate, and approve collaboratively with version control, so everyone is always working from the same document.
- When a gap is identified, the relevant product or business development team member receives an automatic Teams notification with the specific requirement: ‘Tender #FL-2026-047 requires ISO 9001 certification documentation for stormwater systems. Please provide.’ No chasing, no email chains.
