Modernizing Leave Management with Microsoft Power Platform Development Services

Client

Our client is a well-established entity based in the United States, employing over 600 highly skilled professionals across a range of departments. It is well-known for its commitment to innovation, operational excellence, and customer satisfaction and has a strong presence in its industry.  Because of the company’s multidisciplinary workforce, a wide range of customers can receive high-quality goods and services.

Challenge

The organization was already invested in Microsoft 365 for communication and productivity. Leadership was eager to maximize the value of this investment by adopting additional Microsoft technologies, specifically the Power Platform, to digitize HR processes, improve efficiency, and empower both employees and managers with self-service tools and real-time insights—all without increasing software costs or introducing unfamiliar platforms. The company had a?number of pain points in its old leave process, which was based mostly around employees sending emails to managers or HR asking for leave:

  • Email Overload & Delayed Approvals: Leave requests easily got lost in overflowing inboxes. Managers sometimes missed or delayed approvals, leaving employees uncertain and frustrated.
  • Lack of Transparency: There was no way for employee to get a real-time view of their leave balance or the status of their leave,?HR was inundated with emails.
  • Manual Tracking: HR tracked leave balances and records in spreadsheets, resulting in errors, outdated information, and difficulty generating reliable reports.
  • No Central Calendar: There was no one place to look at upcoming team leaves or vacations, so it was hard for managers to plan and prevent being?short-staffed.
  • No Standard Workflow: Different departments managed leave approvals differently, causing confusion and inconsistencies across the organization.
  • Limited Insights: HR and leadership could not easily spot leave trends, absenteeism issues, or make informed workforce planning decisions.

Leadership recognized that a modern, automated solution built on their existing Microsoft investment could solve these issues and support future growth.

Solution

To address these challenges and fully leverage their Microsoft ecosystem, the company partnered with us to implement a comprehensive Power Platform Leave Management System using Power Apps, Power Automate, SharePoint, and Power BI.
The first and most transformative action was the development of a modern Power Apps Canvas App:

The initial phase focused on empowering employees and managers with an intuitive, easy-to-access digital portal for all leave-related tasks. Power Apps Leave management was designed with a user-friendly interface and deep Microsoft 365 integration, providing a single point of access across desktop, mobile, and even within Microsoft Teams.

  • Self-Service Leave Application: Now, employees could request time off in a few clicks, specifying their leave type, dates, and entering optional?notes—all from within the app. This removed the pain of writing and sending emails or?looking for forms for easy process.
  • Real-Time Leave Balances: The app displayed up-to-the-minute leave balances for each leave type (annual, sick, casual, etc.), pulled directly from the SharePoint backend. Employees always knew exactly how much leave they had available before making a request, reducing back-and-forth with HR.
  • Leave History and Status Tracking: Users could see their entire leave history (including?pending, approved, and denied requests) at a glance. This visibility not only created more accountable employees, but also it reduced the number of?HR / Manager follow-up.
  • Integrated Holiday and Leave Calendar: The app included an integrated calendar reflecting all official company holidays and planned leaves at team/ department level. This feature allowed teams to look ahead, safeguarded against understaffing, and averted major scarcities in times?of peak scheduling loads.
  • Responsive Design: By building with Power Apps, the solution was fully responsive, allowing employees and managers to use it seamlessly from any device—whether at their desks or on the go.
  • Microsoft 365 Single Sign-On: Users would sign in to the app using their current Microsoft 365 credentials via Azure Active Directory, making security a non-issue and eliminating the need to remember one?set of logins for the app.

This Power Apps Canva App has quickly become the heart of all leave management processes, revolutionising the experience for employees, slashing HR’s?admin burden, and laying the groundwork for more automation and insights in the future.
Subsequent steps in the solution included:

  • Leveraging SharePoint as the backend for secure data storage and approval mapping.
  • Automating workflows and notifications using Power Automate.
  • Implementing direct email approvals for managers.
  • Providing HR and management with real-time dashboards via Power BI.
  • Ensuring seamless integration with the broader Microsoft 365 environment for maximum adoption and cost savings.

Result

The following benefits were immediately realized and provided to tenured employees who experienced a disability —?thanks to the new Power Platform Leave Management App:
