Client

Our client is a small and fast-growing organization with mixed physical and digital assets scattered across multiple physical locations. As their asset portfolio grew in size, they found it considerably harder to monitor, protect and optimize asset utilization. Because they understand the need for a more effective and scalable solution, the client has made modernizing their asset management processes their top priority.   Enhancing operational effectiveness, accountability, and control is the aim of this endeavor. 

Challenge

Our Client’s IT team was responsible for managing a growing inventory of hardware and software assets spread across the head office, multiple regional branches, and area locations. However, all asset information, allocation, and movement were handled manually using disparate Excel spreadsheets maintained separately at each location and email communication for requests, updates, and approvals. This manual, fragmented approach resulted in several operational challenges: 

  • High Manual Effort: IT staff spent significant time consolidating asset lists, updating records, and tracking allocation or returns—often requiring follow-up emails and phone calls to regional offices to verify information. 
  • Lack of Real-Time Visibility: With each location maintaining its own spreadsheet, the head office had no immediate way to see which assets were currently allocated, available, in transfer, or pending return across the organization. 
  • Data Inconsistency and Risk of Loss: Updates were sometimes missed or delayed due to human error, outdated versions of files, or miscommunication, leading to incomplete or inaccurate asset records. 
  • Difficult Asset Lifecycle Tracking: There was no standardized method for tracking when assets were assigned, returned, transferred, disposed, or due for software/license renewal, making it hard to manage asset lifecycle events proactively. 
  • Limited Accountability and Audit Trail: Without a central system, it was challenging to identify who was responsible for each asset at any point in time, generate reliable reports, or audit historical asset movement—especially when employees joined, left, or transferred between offices. 

Solution

To address these challenges, client partnered with Veelead to design and implement a centralized, cloud-based Asset Management System leveraging the Power Platform Development—providing a single, unified solution that automates asset tracking, enhances real-time visibility, streamlines allocation and transfer processes, ensures complete auditability, and empowers the IT team with powerful tools for proactive management and control of both hardware and software assets across all locations: 

  • Centralized Dashboard: A real-time dashboard consolidates all hardware and software asset information, providing IT with a holistic, up-to-date view of inventory, allocation by region, upcoming lease endings, and license renewals. 
  • Asset Register & Management: The system enables IT to register, categorize, assign, update, and dispose of assets (hardware and software) using a complete digital asset register—capturing full specifications, purchase data, and assignment history. 
  • Check-In/Check-Out & Transfer Management: Assets can be checked in and out as employees join, leave, or transfer locations, with every movement tracked. Location transfers and inter-office asset requests are managed and logged in the system, eliminating double booking and confusion. 
  • Disposal Tracking: IT can log and track asset disposals with reasons and dates, providing a full lifecycle view and compliance for write-offs. 
  • Automated Notifications & Reminders: The system automatically sends emails for asset allocation, returns, transfer requests, lease endings, software renewal due dates, and employee acknowledgements, ensuring nothing is missed and stakeholders are always informed. 
  • Audit Trail & Reporting: Every asset action is logged for audit and reporting purposes. IT can generate reports on inventory, allocations, disposals, expirations, and transfers as needed. 
  • Role-Based Access: Super Admins assign permissions to IT Asset Trackers, ensuring data integrity and proper governance. 
  • Technology Stack: The system is built using Microsoft Power Apps for the frontend, SharePoint for the backend, and Power Automate for workflow automation.
